Tagging documents

Users managing document metadata.
Editor permissions are required to add tags. Account Manager permissions are required to configure tags.
Document tagging lets you organise and find files faster by applying one or more labels to any document. Once tags are applied, you can filter file lists and search by tag - making it easy to locate exactly what you need without scrolling through long directories.
This article explains where to enable, configure, and add tags to documents.
Enabling tags
Document tagging is not enabled by default. To turn it on for your account, open a ticket with us to request that the feature be activated.
Once we have enabled the feature, your Account Manager will see the option in Account Settings.
Configuring tags
Tags are managed at the account level. Your Account Manager configures the tag library that all workspaces under your account share. Tags are not shared between accounts.
To configure tags:
- Go to Account Settings.
- Select Tags.
- Switch Tags toggle to On.
The tag table will appear. - From here you can:
- Add tags manually - Type a tag name and add it to the list.
- Upload tags via CSV - Prepare a CSV file where each tag is separated by a comma (for example: Finance,Legal,Approved,Draft,Q1 Review). Select the upload option and choose your file.
All tags configured here are immediately available to document editors across every workspace on the account.
Note
Duplicate tags will not be imported. If a tag already exists in the account library, it will be skipped during upload.
Adding tags
Once the Account Manager has set up the tag library, document editors can tag any document.
To tag a document:
- Open the file you want to tag.
- Select the More icon (⋯).
- Click the Tag icon.
The tag picker will open. - Search for the relevant tags.
- Select one or more tags to apply them to the document.
Note
You can only apply tags that have been configured by the Account Manager. Custom or free-text tags are not supported.
Finding documents by tag
Searching by tag
There are two ways to search by tag:
- Using the search dropdown - Open the search bar and select a tag from the tag dropdown to filter results by that label.
- Clicking a tag on a file - Click any tag displayed on a file and it will open the search with that tag already selected in the dropdown, instantly filtering results.
Filtering the file list view
In any file list view, use the tag filter to narrow the list to documents that carry one or more specific tags.
